Most businesses ordering custom gift cards for the first time discover something odd part way through: the companies selling them all sound the same. Same finishes, same substrates, same turnaround language, same reassurance about brand standards. What almost none of them state plainly is whether or not they actually make the cards themselves or hire another company to make them.

A significant number of companies that market themselves as a card manufacturer are actually card resellers. They take the order, apply a margin, and place the job with a production facility they neither own nor control. That arrangement adds cost, adds elapsed time, and puts a layer of distance between your brand standards and the press.

Here’s how custom gift card printing actually works, what changes depending on which kind of company you buy from, and how to tell the difference before you commit.

How custom gift cards are actually produced

Understanding the difference between a manufacturer and a reseller is easier once you know what the production process involves, because every step in this process is a place where control matters.

Substrate selection. Most custom gift cards are printed on PVC, the same rigid plastic used for payment cards, though paper-based and biodegradable stocks have come into play as businesses look for alternatives. Substrate choice affects how colors appear, how the card feels in hand, and how it behaves in a card reader.

Printing. Artwork is reproduced onto the card surface via an offset or digital press, depending on run length and cost requirements. This is where brand color is either matched or missed.

Finishing. A protective layer goes over the printed image. Lamination bonds an additional clear film layer to the card’s surface, and comes in matte, satin, and gloss, each producing a different appearance of the color underneath them. Specialty finishes get applied at this stage too: foil stamping, embossing, spot gloss, and metallic, for example.

Die cutting. Precision cutting brings each card to final dimensions, standard credit card size in most cases, or a custom shape if the design calls for one.

Encoding and numbering. Magnetic stripes, barcodes, QR codes, or sequential numbering get added so the cards can be activated and tracked by your point of sale system. This step has to be right or the cards do not work at the register.

Quality Control. Most gift card manufacturers employ QC protocols to ensure that the PVC they receive conforms to ISO/IEC specification standards. This ensure that the cards they sell will work properly with all gift card readers. They are also visually inspected for any irregularities in printing or lamination prior to packaging.

Packaging and fulfillment. Cards get counted, packed, and shipped, sometimes with carriers, sleeves, or display materials.

Every one of those steps happens on a production floor. The question worth asking is whether the company taking your money has access to the people and manufacturing protocols there.

The two kinds of companies selling custom gift cards

A direct manufacturer owns the presses, the finishing equipment, and the variable data and encoding hardware. When you talk to them, you are talking to the organization that will physically produce your cards.

A reseller sells custom gift cards without producing them. Your order goes to a production facility the reseller has a commercial relationship with. The reseller manages your artwork, your paperwork, and your communication, and adds a margin for doing so.

Resellers are not doing anything improper, and for straightforward orders, the model works. A business buying a standard PVC card with a logo and a barcode, with no exacting brand color and no fixed deadline, will often be served perfectly well.

Cost

A reseller’s quote contains the production cost plus the margin it adds for handling the transaction. You are paying for coordination, and coordination has a price whether or not it is itemized on the invoice.

The larger cost is usually the one that does not appear on the original quote. When a customer’s job comes back wrong, someone pays to fix it. In a direct relationship, the manufacturer that accepted the specification is the party that has to make it right, and that conversation happens between you and them. When a reseller sits in between, there are two separate commercial agreements: yours with the reseller, and the reseller’s with the plant. They resolve on different timelines, under terms you cannot see, and your recovery depends on a negotiation you are not part of.

Rush fees behave the same way. A production facility deciding to expedite your job is making a decision about its own schedule. A reseller expediting your job is buying priority from someone else and passing that cost through.

Turnaround

A production facility quoting a date is committing its own capacity. It knows what is on press, what is queued behind it, and what it can absorb. That date is a decision it is authorized to make.

A company that may not have a production floor quoting a date is relaying a forecast to you of someone else’s capacity. The forecast is often accurate. It is also subject to change by a party whose priorities the reseller does not set, and when a plant re-prioritizes, the reseller typically learns about it after the fact. You learn about it after that.

Say you change a specification after the order is placed. In a direct relationship, that message reaches someone who checks it against the live schedule and answers, usually in one exchange. Through a reseller, the same message goes to an account contact, who translates it into a request to the plant, which evaluates it against a schedule you cannot see, and responds with implications, which are relayed back to you, which you approve, which is confirmed to the plant.

That is six steps, each potentially landing after someone’s business day has ended. And it does not happen once. Every subsequent exchange on that order travels the same path, so a change that generates three rounds of clarification generates eighteen hops rather than six. This is the mechanism behind the customer’s recognition that a job took longer than it should have.

Color accuracy

A brand color match is a production process, not a file setting. The same artwork prints differently depending on substrate, ink laydown, press calibration, and what the coating or lamination does to the color once applied. A card’s color can be on target when it leaves the press and shift measurably after finishing.

Hitting a specific color means someone examines a physical proof under controlled lighting, compares it against a physical standard, adjusts the press, and has the authority to stop the run if it is off. That authority cannot be delegated cleanly through an intermediary. A reseller can pass your color requirement along. What it cannot do is adjust the press or halt production, because it operates neither.

For a business whose brand color is genuinely recognizable, this is the dimension where the distance between buyer and production floor costs the most.

Account support and technical answers

Custom gift card questions turn technical quickly. Whether a magnetic stripe needs high or low coercivity for your point of sale hardware. Whether a barcode has adequate quiet zone at a size your artwork layout allows. Whether opting for a thicker card will interfere a card reader.

These questions have specific answers, and the people who have them work near the equipment. Through an intermediary, a technical question becomes another message in the relay, and the answer that returns has been summarized by someone who did not produce it.

  1. Where are the cards produced? A direct answer names a location. An indirect answer describes a network or a partner ecosystem.
  2. Can I speak with someone who works in production? The fastest question in the list. Either that person can be added to the call or the request can’t be accommodated.
  3. Who is responsible if the color does not match? Listen for whether the answer names a specific person or title.
  4. What happens to my timeline if I change the specification after ordering? A vendor with schedule control describes conditions. A vendor without it describes a request.
  5. Can you produce a physical sample before the full run? Ask specifics regarding the exact turnaround time and whether your prototype sample will be the exact same as the final run. A manufacturer will immediately know these answers. No getting back to you.
